Last updated: 9 September 2026

This privacy notice explains how Trans-Haz Ltd collects, uses, shares and protects personal information when you visit our website, request a quote, contact us or use our haulage and logistics services.

1. Who we are

Trans-Haz Ltd is the data controller for the personal information described in this notice.

2. Information we collect

Depending on how you deal with us, we may collect:

  • your name, job title, company, email address, telephone number and business address;
  • quote and job information, including collection and delivery contacts, addresses, dates, references, load details, vehicle requirements, ADR class and UN information;
  • customer, supplier and subcontractor records, communications, invoices, delivery records and proof-of-delivery information;
  • marketing preferences and mailing-list choices;
  • technical information such as IP address, browser, device, pages viewed, referral source and cookie identifiers; and
  • other information you choose to provide in an enquiry or during a transport booking.

Please avoid sending special-category personal data unless it is genuinely necessary for us to provide the requested service.

3. How we obtain information

We collect information directly from you through our website, email, telephone and business dealings. We may also receive relevant information from your employer, customer, supplier, delivery or collection contact, subcontractor, publicly available business sources and service providers involved in a transport job.

4. How and why we use information

  • Enquiries and quotes: to respond, assess requirements and prepare a price. We rely on steps taken before a contract and our legitimate interest in developing and operating our business.
  • Transport and logistics services: to plan, manage and complete collections and deliveries, provide updates and resolve service issues. We rely on contract and legitimate interests.
  • Safety and compliance: to manage ADR, waste, customs, transport, tax, accounting and other legal or regulatory requirements. We rely on legal obligations and legitimate interests.
  • Customer administration: to maintain records, issue invoices, manage payments, complaints, claims and proof of delivery. We rely on contract, legal obligations and legitimate interests.
  • Website security and improvement: to keep the website secure, understand performance and improve our services. We rely on legitimate interests and, where required for non-essential cookies, consent.
  • Marketing: to send relevant business updates where you have consented or where the law otherwise permits. You can opt out at any time.

We do not use personal information for solely automated decisions that produce legal or similarly significant effects.

5. Sharing information

We may share information where necessary with our employees, drivers, subcontracted carriers, collection and delivery sites, customers, vehicle or freight partners, insurers, professional advisers, payment and accounting providers, website, email and transport-management providers, regulators, law-enforcement bodies and other parties required by law. We only share what is reasonably necessary for the relevant purpose.

6. International transfers

Some technology providers may process information outside the UK. Where this happens, we use providers and safeguards recognised under UK data-protection law, such as adequacy regulations or approved contractual protections, where required.

7. How long we keep information

We keep personal information only for as long as needed for the purpose collected, including legal, accounting, insurance and dispute requirements. As a general guide:

  • unsuccessful quote and general enquiry records may be kept for up to 24 months;
  • customer, job, invoice and contractual records are normally kept for up to six years after the relevant relationship or transaction;
  • marketing details are kept until you unsubscribe or we determine they are no longer current; and
  • website security and analytics information is kept according to the periods described in our Cookie Policy or for as long as reasonably necessary to investigate an issue.

We may keep information for longer when required by law or in connection with a complaint, claim or investigation.

8. Keeping information secure

We use reasonable organisational and technical measures to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. Access is restricted to people who need the information for legitimate business purposes.

9. Your rights

Depending on the circumstances, you may have rights to access, correct or erase your information; restrict its use; object to processing; receive certain information in a portable format; and withdraw consent. These rights are not absolute and may be limited by legal requirements.

Your right to object: You may object at any time to direct marketing. You may also object to processing based on legitimate interests, although we may continue where we have compelling lawful grounds.

To exercise a right, contact sales@trans-haz.com. We may need to confirm your identity before responding.
